This policy describes how Call Familiar LLC handles your information across both our website and the Call Familiar application. Wherever we describe optional collection below, it happens only when you choose it, for example by submitting a form or leaving a setting enabled.
1. What We Collect on Our Website
When you interact with Call Familiar's website, we may collect the following information:
- Email address - provided when you sign up for our mailing list or use the contact form
- Name - if provided via the contact form
- Message content - text you submit through the contact form
- IP address - collected automatically for security and legal compliance purposes
- UTM campaign parameters - tracking codes in URLs that tell us how you found our site (e.g., from a social media ad or email link)
- Browser and device information - collected by Google Analytics to help us understand how visitors use our site
2. What the Application Collects
When you use the Call Familiar application, we may collect the following. Most of this is optional and under your control, as noted:
- Account information - if you have an account, your email address and an account identifier, used to sign you in and operate the Service. Account sign-in is managed for us by Amazon Web Services (Cognito).
- Usage analytics (optional) - anonymous information about how the app is used, such as which screens you open, how long sessions last, and live-session activity. This is tied to an anonymous per-installation identifier (and your account identifier when you are signed in). It is enabled by default and can be turned off at any time in the application's settings; when off, nothing is collected or sent. We use Google Analytics to process this.
- Bug reports (only when you submit one) - when you choose to report a problem, the report includes a description you write, a screenshot you capture, and your application log files, so we can diagnose the issue.
- Survey responses (only if you fill one out) - answers you choose to provide in a post-session or feedback survey.
3. Why We Collect It
We use the information we collect for the following purposes:
- Operating your account - to authenticate you and provide the application's features
- Improving the product - usage analytics, bug reports, and survey responses are used solely to operate, maintain, and improve Call Familiar
- Mailing list - to send you updates about Call Familiar, including development news, playtest opportunities, and launch announcements
- Contact form - to respond to your inquiries and feedback
- Campaign tracking - to understand which marketing efforts are most effective so we can reach more tabletop enthusiasts
- Analytics - to understand how visitors use our website and improve the experience
4. Third-Party Services
We use the following third-party services to operate our website, application, and communications:
- Amazon Web Services (AWS) - hosts our website and application infrastructure, manages account sign-in (Cognito), and securely stores account data, contact form submissions, campaign data, and submitted bug reports.
- Google Analytics - provides usage analytics for both our website and the application. On the website it uses cookies to track visitor behavior anonymously; in the application it processes the anonymous usage data described above. See their Privacy Policy.
- MailerLite - manages our email mailing list. When you sign up, your email is stored and processed by MailerLite. See their Privacy Policy.
5. Data Retention
- Account data - retained while your account is active and until you request deletion
- Bug reports and survey responses - retained while we work on the product and until no longer needed for that purpose
- Mailing list data - retained until you unsubscribe or request deletion
- Contact form submissions - retained for up to 2 years or until the inquiry is resolved, whichever is longer

- Analytics data - governed by Google Analytics' retention policies (default: 26 months)
